Job Description :


  • Provide general administrative support to the Legal Affairs Department (General Counsel, Internal Audit, Risk Management) and to the Vice President, General Counsel & Secretary
  • Organize corporate and contract files, work matters, Board information and books, Corporate records, and legal records.
  • Coordinate conferences and meetings, make travel arrangements, maintain calendars, prepare materials such as presentations, spreadsheets and agendas
  • Maintain and retrieve database and file information from desktop applications (no mainframe) and hardcopy sources
  • Interact effectively with individuals at all levels of the company in a professional and confidential manner (both internal and external) including the Department of Justice (DOJ), Federal Bureau of Investigation (FBI), US Attorney’s Office, Centers for Medicare & Medicaid Services (CMS) and Office of General Counsel (OGC)
  • Receive and control legal documents and papers, providing administrative support on all legal initiatives including discovery responses
  • Assist general counsel and management team in research and collection of information, including retrieving database and file information from desktop applications (no mainframe) and hardcopy sources
  • Complete reports and forms in accordance with standard operating procedures, including travel, expense, time keeping, budgets and cost centers, etc.
  • Maintain and organize all board materials including minutes, board books and agendas.  Provide administrative support during preparation for pending Board meetings
  • Keep and monitor legal volumes to ensure that law library is up-to-date
  • Perform administrative functions in support of FCSO’s business continuity and disaster recovery program, facilities management and records management programs
  • Perform such other tasks as directed by the Vice President, General Counsel & Secretary


  • High school diploma or equivalent
  • 6+ years of recent experience working in an executive administrative role supporting a team or an individual
  • Intermediate proficiency with MS Word , Excel and PowerPoint (testing required)
  • Experience organizing a file system and developing organization processes for departments and individuals.
  • Experience with e-mail system and on-line calendar
  • Experience working on legal matters or contract matters in a highly confidential environment
  • Typing at least 45 words per minute with 95% accuracy


  • Paralegal experience, knowledge of legal terminology, basic records/project management
  • Experience working with Senior Executives and Boards of Directors
  • Extremely organized
